Community Action is seeking candidates for Administrative Specialist, to join our Admin team at our 210 O Street location. This individual will have strong in-person and phone skills, such as active listening, clear verbal communication, and empathy to manage and resolve inquiries. This position will be responsible for guest services, greeting and directing program participants, visitors, and vendors to the appropriate resources, and responding to inquiries and requests. Completes routine office management tasks including, but not limited to mail processing, receipting cash, managing mailroom, employee breakroom, conference rooms, and lobby area at our 210 O Street location, and completing front office opening and closing procedures. Administrative program and department support is also provided to other departments as needed.
This is a full-time position, 40 hours, 5 days per week (M-F).
Starting Pay: $20.15/hour
Key responsibilities include:
Answers and directs incoming phones calls. Greets, acknowledges, and assists all guests as requested.
Responds to and resolves crisis situations; initiates incident reports when required.
Maintaining vehicle and conference room reservations.
Assist with maintenance needs of copiers and postage meter including toner changes and maintenance of copier program codes.
Maintains office supplies including ordering, distribution, and restocking.
Runs end of the month reports: including postal meter machine, vehicle mileage and balances the bus pass sale box.
Program and department support: Assists programs as requested with data entry, scheduling appointments, filing, and explaining procedures to participants. Assists with general clerical support.
Qualifications:
High School Diploma or GED required.
One (1) year clerical experience or equivalent education preferred.
